Q & A

Explanation of the flow and logic of the connection between ERP-connector & Magento.

Who installs the Magento ERP connection

The connector is installed by:

  1. The respective Magento ERP partner
  2. Employees within/outside your organization with the knowledge of Magento ERP.
  3. Youwe

If it is desired that Youwe installs the connector, the time box will be included in the offer.

What are the prerequisites for using Magento ERP Connector?

Prerequisites Magento

  • The Youwe Magento ERP – Connector runs on both the Magento Community Edition as well as on the Magento Enterprise Edition.
  • The connector is suitable for Magento 1 and 2.

Prerequisites Magento ERP

  • The connector runs on Magento ERP, from version 2008 (and higher).
  • The web service module (AIF) is available (will be said if it is present or can be purchased).
  • The Magento ERP Web service must have a fast connection to the data center of the shop. Preferably the web service should be hosted in a data center, but a good connection with the internally hosted Magento ERP environment (eg. fiber with high upload) is also very workable.

I have customized my Magento ERP system, and now?

If your ERP environment and / or Magento comes with customization, it could be that the “loaded” web services have to be expanded in order to be able to exchange all data. Customization can be done by the own Magento ERP consultants or programmers, or can also be carried out by Youwe’s partners. The code of the connector is open and thus can be expanded.

Which data does the Magento ERP Connector integrate?

The connector contains 20 integrations, with a distinction between imports and web services. The special characteristic of imports is that they are implemented at night. This is opposite to the web services, that have a real-time data exchange between Magento and the ERP system.

How is the safety of the Magento ERP connector guaranteed?

The connector is installed in the existing standard AIF and, therefore, does not pose any additional security risk. We recommend to create the linkage between connector and Magento web shop via a secure VPN connection made with a one on one security. This makes the data exchange 100% secure.

Catalog and products - Explanation of Magento ERP connection

Building the catalog can be done by importing a pre-defined XML file or through the intermediate step from PIM. See the presentation below for more information.

Customers and contacts – Explanation of Magento ERP connection

Customers from Magento ERP

The customer data are read from a batch (nightly import). The following data are relevant for the checkout, but also for the entire platform and are retrieved in real time via the web service:

  • The address book of a customer
  • The delivery and shipping addresses
  • The billing addresses
  • Contact information

Customer edit in the web shop

Customers can edit themselves their details in the web shop, if they are authorized to do so. If there is a permission, the real-time updated data are sent back to Magento ERP.

Create/request customer account

Creating new accounts is done through an application form, which is sent out by mail to the organization.

Prices – Explanation of Magneto ERP connection

The basic prices for non-registered customers can be synchronized via the product logic and so by default read from the import.

The customer-specific prices are retrieved via a real-time request. Thanks to the smart caching, it takes less than 1.5* seconds to show the prices.

The following price information is retrieved real time:

  • Customer specific price per product (amount)
  • Customer specific order costs
  • Currency per customer
  • Order simulation requests the order real time from Magento ERP, so that even complex situations are ‘tackled’.

*The speed remains dependent on the performance of the web shop. Our experience teaches us that based on our proposed setup it works perfectly, without putting the load time of the web service under pressure.

Stock - Explanation of Magneto ERP connection

Stock from Magento ERP

The stock can be retrieved real time as well as periodically. In the connector and supplied software it can be configured at which place the stock is shown through a real-time request. This can be adjusted in the following locations:

  • Order lists
  • Order detail
  • Shopping cart
  • Quick order

Quotes - Explanation of Magneto ERP connection

Quotes from Magento ERP

The quotes are retrieved real time from Magento. Of course, through the smart use of page numbering the unnecessary burden is avoided in the web service. Quotes can also be found by the number or the period. A targeted information interrogation prevents a heavy load of the web server. Offline quotes can be converted through the web shop to orders!

  • Quotes overview
  • Quotes from Magento ERP, including product/order lines and all quote comprehensive data (quote header data)

Orders - Explanation of Magento ERP connection

Orders from Magento ERP

The orders are retrieved real time from Magento ERP, through which they are limited, for example, to the last 10 orders (quantity is variably adjustable). In addition, the customer can selectively look for orders through searching by date or by order number.

  • Order overview, including order lines and expected delivery date per order line, as well as payment status per line
  • Real-time order overview including information about expected delivery date per order lines provides relief from internal sales / logistics department.

Through the real time connection is possible to see the orders from Magento ERP in eCommerce environment, as well as web orders.

Invoices - Explanation of Magneto ERP connection

Invoices through Magento ERP connection

The invoices can be integrated or displayed in different manners in Magento. Through synchronizing the PDFs as well as through the real-time display of invoices including invoice lines. Per line the payment status (and remaining amount) is displayed.

  • Invoices overview
  • Payment status per invoice
  • Remaining amount (per order)
  • Relationship with orders
  • Invoice lines
  • Status displayed per line

Checkout, order costs etc. – Explanation of Magento ERP connection

Checkout process – sending costs, shipping costs, expected delivery time from Magento ERP

When the products are gathered in the shopping cart, the software performs a real-time request “order simulation”.

Here, the connector fills in the exact product lines. This is combined with the delivery address, time of delivery, operations and data variables. The request is processed within 1.5 seconds, and afterwards the date of delivery, shipping costs, processing costs, deposit etc. are shown in the shopping cart and checkout process.
